2025 RULES & REGULATIONS FOR ARTISTS
1. Deadline for registration is May 18, 2025
2. Booth cost is as follows:
Local SC County Residents
Single Booth (12x12) $275 + $35 (non-refundable) jury fee = $310
Double Booth (12x24) $475 + $35 (non-refundable) jury fee = $510
Non-Local SC County Residents
Single Booth $420 (12x12) + $35 (non-refundable) jury fee = $455
Double Booth $720 (12x24) + $35 (non-refundable) jury fee = $755
3. All entries will be subjected to a Jury Process. There is a non-refundable $35 jury fee for each artist. The preliminary jury results of this process will be made public by June 8, 2025. All results are final. Artists will receive notification by email. Accepted artist must confirm participation within one week of acceptance. Otherwise, the space will be made available to another artist. Each booth will be a corner booth with access on two sides.
The final information on your booth space will be sent to you on via email. The artist committee and Chamber Executive Director will be solely responsible for both the arrangement and assignment of booths and will take in any considerations you have listed on this application. However, we cannot ensure that all your expectation will be met. Committee booth placement decision is final.
4. Cancellations will be made as follows: Until the close of business July 19th, you may request cancellation in writing by emailing
[email protected]. The $35 Jury Fee is non-refundable. After July 20th, no refunds will be made for any reason.
6. Only one artist will be juried per booth. No booth sharing will be allowed.
7. The Festival will be held at SkyPark, 361 Kings Village Road, Scotts Valley, CA 95066
8. Exhibit spaces are 12’ x 12’ or double booth 12' x 24'. This should allow for a tent as well as easels or other displays of artwork. All tables, art, etc., must be within the single or double booth space by festival opening, and remain within the space throughout the festival to avoid a $50 per foot fine. In addition, festival volunteers and festival staff will provide bathroom breaks and food breaks and helping you load/unload to your booth. Please treat them with kindness or you may be dismissed from the event and not welcomed back. For safety reasons, the walkway lanes between the booths must remain clear. The committee will lay out the booths as four corner quads, so that each booth has a corner for display. Tents and/or display set-ups are not provided by the Festival and are the responsibility of the artist. WHITE tents are required.
9. All tents MUST be weighted (stakes optional). Weight must be 50lbs. per corner. All tents not weighted upon inspection, will be required to either remove tent or add weight. The Festival is not liable for broken tents or damaged/destroyed product. Please be aware we have had strong wind gusts in the past.
9. Set-up times will be pre-assigned, and set up will start on Friday, August 16th at Noon. All belongings are to be off the field by 8:00 PM, Sunday, August 17th.
10. Overnight security will be provided for both Friday and Saturday nights. Art may be left at your own discretion. Artists are ultimately responsible for booth and contents.
11. The festival committee has a large established advertising budget for this event. We will reach residents of Santa Cruz, Santa Clara, Monterey Counties, and the Greater Bay Area. We also tailor advertising to reach the considerable tourist population. We encourage you to like, share and post on your artist social media channels that you will be at the festival and provide your booth number once you obtain it. A paper festival map will be provided for you and each guest at the festival entrance.
12. We ask each Artist to donate 1 item to be raffled off at a future Chamber event to raise money to help us continue supporting the community and hosting events. Please have your donation ready at artist check-in. If you prefer you can drop off in person at the Scotts Valley Chamber office located at 216-B Kings Village Road in the Kings Village Shopping Center or MAIL your item to Scotts Valley Chamber of Commerce 216-B Mt. Hermon Road, Scotts Valley, CA 95066. Open Hours are 10am to 4pm Monday Thru Friday. Please call ahead to ensure someone is available to receive: 831-438-1010.
13. Scotts Valley has a moderate climate with a possibility of cool morning fog and/or high humidity in the night hours and dew on the grass is common. The most common day in August would be described as dry and sunny with temperatures reaching to the high 80's. The festival will be held rain or shine.
